Privacy Policy

This policy explains what RVscan collects, how we use it, and the choices users have when using RVscan.

Our inbound email isn’t switched on yet. Messages sent to an @rvscan.com address may not reach us. Until it is, use the early-access form and we’ll respond there. We will not treat a request as unmade because our mail was not working.

RVscan is operated from Washington State, United States. In these terms, "RVscan", "we", "us" and "our" mean the operator of RVscan. RVscan is responsible for the personal information described in this policy. Privacy requests go to privacy@rvscan.com.

RVscan processes diagnostic content, uploaded images, RV information, and account data so the platform can provide educational diagnostic guidance and saved workflow features. We use reasonable security measures, but no online system is 100% secure.

Information we collect

  • Account information such as name, email address, phone number if provided, role, profile photo, and account preferences.
  • Diagnostic descriptions, RV information, symptoms, notes, measurements, uploaded photos/images, service summaries, warranty-story content, and diagnostic chat messages.
  • Usage data such as pages visited, feature usage, device/browser information, approximate location derived from technical data, logs, and performance information.
  • Cookies, session data, authentication tokens, and preference data needed to keep users signed in and operate the service.

How we use information

  • Provide AI-powered diagnostic guidance, troubleshooting steps, service summaries, warranty-story assistance, and account features.
  • Store user diagnostic history, uploaded images, RV profiles, and workspace settings when users choose to save them.
  • Improve RVscan, monitor reliability, protect accounts, prevent misuse, and develop new product features.
  • Communicate about account activity, support requests, product updates, security issues, and legal notices.

AI processing

Diagnostic descriptions, photos, uploaded content, and related context are processed by AI systems run by named third-party AI providers to generate RVscan responses. Specifically: DeepInfra (an AI model-hosting provider) processes scanned work-order images for text extraction, full diagnostic conversations (technician notes and observations, unit brand/model/serial including values read from data-plate photos, the stated customer concern, measurements and test results), and generated warranty documentation text. OpenAI processes photo and image analysis, short conversational text tasks, and the text queries used to search RVscan's reference library. Both act as processors on RVscan's instructions to provide the service. AI output may be incomplete, inaccurate, or unsuitable for a specific RV model, installation, or condition. Users must independently verify all output before acting on it.

Service providers

RVscan may use third-party services for hosting, authentication, database storage, file storage, analytics, payments, email, support, and AI functionality. These providers may process information only as needed to provide their services to RVscan.

Data retention

We retain account and diagnostic information for as long as needed to provide the service, comply with legal obligations, resolve disputes, improve RVscan, and enforce agreements. Users may request deletion or correction by contacting RVscan, subject to legal and operational limits.

Your rights and choices

  • You may request access, correction, deletion, or export of your personal information where applicable.
  • You may reject non-essential cookies through the cookie banner.
  • You may contact RVscan about privacy questions using the contact page.
  • RVscan does not sell personal information.

Children's privacy

RVscan is not intended for children under 13. We do not knowingly collect personal information from children under 13.
